The first thing I would do is confirm that the request is authentic and understand exactly what remains outstanding. I would then review the consistency of the complete response before sending information through the channel indicated by the bank.

Confirm what the bank is requesting
Distinguish a periodic update, a query about a transaction and an application for a new product. Ask for outstanding points in writing. If the message arrived through an unexpected channel, verify its authenticity using the institution’s official contacts before sharing documents.

Organize the response into four groups

- Recent changes: changes in shareholders, responsible individuals, address, activity or expected behavior requiring explanation.
This list organizes preparation; it does not replace the institution’s form or set identical requirements for every customer. Mark unconfirmed information as outstanding rather than completing it by intuition.
Review consistency before sending
Hypothetical example: the historical description says “local services,” but the business now receives payments from foreign clients. The task is not to invent an explanation to obtain approval. It is to document the real change and ask which update is required.
Check names, dates and relationships between parties. Where a document uses a previous name, explain the change with supporting evidence. Keep a record of submissions and open questions to prevent contradictory answers from different team members.

Assign an owner and protect information
One person should coordinate the response without assuming authority to change legal information independently. Define who validates corporate information, confirms figures and approves submission. Use the institution’s designated channel and avoid open folders or public links.
Does a well-prepared file guarantee acceptance? No. The institution applies its policies and conducts its own assessment. Preparation aims to provide clear, documented answers, not promise approval or bypass controls.
